
Virtual Mail FAQ
What is virtual mail? Virtual mail, also known as virtual mailbox, provides the customer a real physical street address and a mailbox number to receive mail and packages. A picture of the outside of the mail item is sent to the customer’s email. Once the customer receives a picture of the mail item, they can pick up the mail and also request scanning, shredding, hold and forwarding the mail item.
How do I make a request to scan, hold, shred, pickup or forward my mail? Log into themailroomonline.com. In the subscriber portal, go to request, type your name, mailbox number, mail ID number and select options on the drop down. Hit submit. We will receive your request and fulfill your request.
How long do you store mail? Your mail is stored for as long as your account is active. However, if you have an active account and your mail is over 180 days and exceeds over 500 pieces, you will be notified to pick up mail or have the mail shredded or forwarded to you. If you decide to forward the mail, an invoice will be sent to you for the amount to forward your mail. As long as your mail stays under 500 items within 180 days, your mail is stored as long as your account is active. If your account is inactive for more than 30 days, your mail will be returned to sender.
Can I have more than one business using the same mailbox number?
How many people can share the same mailbox number? Up to 6 people can use the same mailbox account. Each person must fill out the PS form 1583 and provide two acceptable ID’s listed on the PS form 1583.
What is the refund policy? A refund is given if you did not receive mail within the first 30 days of your account. Refunds are not provided after 30 days of signing up and if you have received mail.
How do I cancel my virtual mailbox account? Log in, Go to Account, Click on Account Setting, Go to Subscriptions, Choose the Active Subscription, then choose Cancel Subscription.
Can anyone pick up my mail? No, only individuals listed on the PS Form 1583 listed under the Authorized Individual can pick up your mail.
Is your service private and secure? Squarespace is our web host. Squarespace uses Transport Layer Security (TLS), a popular security protocol designed to help ensure privacy and data security for communications over the internet.
We use Squarespace Payments. All of Squarespace's built-in Commerce tools are compliant. Squarespace Payments uses the most up-to-date security protocols to keep your account secure, and maintain compliance with the Payment Card Industry Data Security Standard (PCI-DSS).
PCI-DSS compliance is a security standard for companies and organizations that handle payment information from consumers. Squarespace Payments is compliant with the applicable PCI standards.
To ensure a secure connection to your Squarespace site, set your operating system and browsers to update automatically, so you’re always using the latest available version of a supported browser. Some features on your site, like checkout or images, might not work or load correctly on older browsers.
The PCI Council currently requires companies that use TLS to use version 1.2 for all HTTPS connections. Squarespace complies with this requirement.
